Frequently asked questions

Booking status

Has my booking been confirmed by the golf club yet?

Open your booking with the "Manage your order" link in your email and look at the status of each tee time. "Confirmed" means the booking is in place, and "Booking sent to the Golf Club" means the club has not confirmed it yet.

Many courses confirm straight away, while some take bookings as requests that the club must accept first. When the club confirms, you get a separate email titled "Tee Time Confirmed".

Why is my booking still awaiting confirmation?

Some golf courses take bookings as requests, which means the club has to accept your tee time before it is confirmed. Until then your booking shows "Booking sent to the Golf Club", and the price is only reserved on your card, not charged.

If the club proposes another time instead, your booking page shows "Action required" and waits for your choice. If the club does not answer in time, the request is cancelled, the reservation is released and we email you.

When will I receive my confirmation email?

We email you right after your booking goes through, to the address you entered at checkout. For courses that confirm straight away, that email is your booking confirmation. For courses that take requests, the first email says your request has been sent to the golf club, and you get a second email titled "Tee Time Confirmed" once the club accepts.

If nothing has arrived, check your spam folder and then write to hi@greenfee365.com.

How long does confirmation usually take?

It depends on the course. Many courses confirm your tee time straight away when you book. Courses that take requests need the golf club to accept, and how long that takes varies by club.

If nothing has been confirmed 4 days after you booked (one day longer each time new tee times are proposed), the request is cancelled automatically, the card reservation is released and we let you know by email.

Can you check the status of my booking?

Yes. You can check the status yourself at any time with the "Manage your order" link in your booking email, or under My bookings if you have an account. If you want us to look into it, write to hi@greenfee365.com with your booking reference and the email address you booked with, and our customer service will check the booking for you.

Changing a booking

Can I change my tee time?

Tee times cannot be changed online. If you booked with Flex, write to our customer service at hi@greenfee365.com with your booking reference and the time you would like, and we will ask the golf club for you. A new time depends on availability and the club's conditions, and it may cost more. With Flex you can also cancel the round yourself before the course's cancellation deadline and book a new time.

A booking made with Basic cannot be changed once it is confirmed.

Can I move my booking to another day?

Moving a booking to another day works like changing the time: it cannot be done online. If you booked with Flex, write to hi@greenfee365.com with your booking reference and the date you would like, and we will ask the club. Whether it is possible, and at what price, depends on availability and the club's conditions.

A booking made with Basic cannot be changed once it is confirmed.

Can I change the number of players?

The number of players cannot be changed on the website. A tee time is booked for one to four players. If someone cannot play and you booked with Flex, write to hi@greenfee365.com before the course's cancellation deadline, and we will help you with the change and tell you what will be refunded.

Adding players depends on the club's availability, so contact us and we will check with the club. A booking made with Basic cannot be changed once it is confirmed.

Can I add another golfer to my booking?

A golfer cannot be added to an existing booking online, and a tee time holds at most four players. If there is still room at your tee time, the extra golfer can make their own booking for the same time. Otherwise write to hi@greenfee365.com and we will check with the club.

Can I split a booking into separate groups?

A booking cannot be split online. Each booking is one tee time for up to four players, paid together. If you need separate groups or tee times, book them separately, or write to hi@greenfee365.com and we will see what the club can do with your existing booking.

Cancellations

Can I cancel my booking?

If you booked with Flex, you can cancel each tee time yourself until the golf course's cancellation deadline. Open your booking with "Manage your order" in your confirmation email, sign in with the account you booked with (for a guest booking, an account with the same verified email address) and choose "Cancel tee time".

A booking made with Basic (shown as "Saver" on your booking page) cannot be cancelled once it is confirmed. After the deadline, or if no cancel button is shown, write to hi@greenfee365.com. We can ask the golf club, but the club's own policy decides, and a cancellation cannot be guaranteed.

Am I entitled to a refund?

If you booked with Flex and cancel before the course's cancellation deadline, you get back what you paid online for that tee time minus the card processing fee, which we keep as described in our Terms of Service. Your booking page shows the refund amount before you confirm. The Flex fee itself is not refunded.

Bookings made with Basic, no-shows and cancellations after the deadline are not refunded unless the golf club agrees to an exception. If your tee time was a request the club had not yet confirmed, or is paid on arrival, nothing was charged online, so there is nothing to refund.

What is the cancellation deadline?

Each golf course sets its own cancellation deadline, a set number of hours before your tee time, so it varies by course. It is shown as "Cancel by" when you choose your tee time, and for Flex bookings also in your confirmation email and on your booking page, always in the golf course's local time.

With Flex you can cancel yourself until that moment. Flex does not extend the deadline, and after it any cancellation depends on the golf club.

How long does a refund take?

When you cancel a Flex booking yourself, the refund is sent to the card you paid with as soon as the cancellation is completed. How quickly it appears on your statement depends on your bank.

If your booking was a request the club never confirmed, there is no refund to wait for: the reserved amount is released instead, and how quickly it disappears also depends on your bank.

Can I cancel only one player?

On your booking page you can cancel a whole tee time, but not single players. If someone in your group cannot play, write to hi@greenfee365.com before the course's cancellation deadline and we will check with the golf club. Whether a player can be removed, and what is refunded, depends on the club's policy and on your booking: with Flex we help you with the change, while a booking made with Basic cannot be changed once it is confirmed.

Alternative tee times

Why did the club suggest a different tee time?

Some courses confirm each booking request themselves. If the time you asked for cannot be offered, or the club's price for it has changed, the club can propose one or more other times instead of declining. We email you the suggestions, and they also appear on your booking page under "Action required". Your original request stays open while you decide.

How do I accept an alternative tee time?

Open the email with the new tee time suggestions and click "Manage your order", or open your booking from your confirmation email. Click "Action required", choose the time that suits you under "Suggested tee time" and click "Accept tee time". Your booking is then confirmed at the new time, and you receive a "Tee Time Confirmed" email.

If it does not work, write to hi@greenfee365.com and our customer service will help.

Can I reject the proposed tee time?

There is no button to reject a suggestion, but you do not have to accept it. On your booking page, under "Action required", you can choose "Request an alternative time" and send the club your preferred date and time instead, at your original price. The club answers when it reviews your request, so if it is urgent, write to hi@greenfee365.com as well.

If you do nothing, the request is cancelled automatically when it expires, and the reservation on your card is released.

Will the price change with a new tee time?

It can. The club sets the price for each time it suggests, and the price is shown next to every suggestion before you accept, both in the email and on your booking page, so you can compare it with your original booking. If you accept a higher price and paid by card, the difference is charged to the same card when you accept. If your tee time is paid on arrival, you pay the price shown for the new time at the club.

Times you request yourself keep your original price.

What happens if I do not respond to the alternative offer?

Your request stays open for a limited time: 4 days from when you booked, plus one day each time new tee times are proposed. During that time you or the club can still act on it. If no tee time has been confirmed by then, the request is cancelled automatically, the reservation on your card is released and you are not charged.

We email you when this happens, and you are welcome to make a new booking for another time.

Payments

Has my card been charged already?

It depends on how the course takes bookings. When a course confirms your tee time straight away, the amount to pay now is charged to your card as soon as the tee time is booked. Tee times paid on arrival are paid at the golf club, and nothing is charged for them online.

When the golf club has to confirm your booking request first, the amount is only reserved on your card when you book, and your confirmation email says "Card authorisation only". It is charged when the club confirms, or when you accept an alternative time the club suggests. If you chose Flex, it appears as a separate charge on the same card.

Why do I see a reserved amount on my card?

When you pay online, the amount is first reserved on your card and then charged once the tee time is booked, so your bank may briefly show a pending reservation. For courses where the club confirms your request by hand, the amount stays reserved while the club considers your request, and it is only charged if the booking is confirmed.

If a booking attempt did not go through, nothing was charged, and any reservation for that attempt is released automatically. Write to hi@greenfee365.com with your booking reference if you are unsure which booking a reservation belongs to.

When will the card authorization disappear?

If a booking is not completed, or the club declines or does not answer your booking request, the reservation is released and you are not charged. A request the club has not answered within 4 days of booking (one day longer each time new tee times are proposed) is cancelled and released automatically. A reservation that is never used also expires on its own, which can take up to a week.

Once a reservation is released, how quickly it disappears from your statement depends on your bank.

Why was my payment declined?

Most declines come from your bank, for example insufficient funds, an expired card, a wrong security code, or a payment you did not approve in your banking app. When a payment is declined, nothing is booked and you are not charged. Check your card details, approve the payment with your bank when asked, or try another card. Only your bank can tell you the exact reason for a decline.

If the checkout says the price or availability has changed, your card was not the problem: check the new details and book again.

Can I pay at the golf course instead?

It depends on the course. Each golf course decides whether its tee times are paid online when you book or at the club on arrival, and this cannot be changed when you book. The checkout summary shows what you pay now and what you pay on arrival.

For tee times paid on arrival we still ask for your card details, but nothing is charged online. Show your confirmation at the club and pay there.

Greenfee365 Flex

How does Greenfee365 Flex work?

Greenfee365 Flex is an option you can choose in checkout, under "Booking options", instead of Basic. It costs one fixed fee per order, shown before you pay, and it is charged separately to the same card. Flex applies to the rounds you pay online, and checkout shows which rounds it covers.

With Flex you can cancel a covered round yourself on your booking page until the course's cancellation deadline. You get back what you paid online for that round minus the card processing fee, and the Flex fee itself is not refunded. Flex also gives you help from our customer service with changes, which the club decides on. Flex never extends the course's cancellation deadline.

Can Flex help if the weather is bad?

Flex is not weather insurance, but it lets you cancel for any reason, a poor forecast included, as long as you do it on your booking page before the course's cancellation deadline. You then get back what you paid online minus the card processing fee.

After the deadline, we can help you ask the club for an exception, but the club decides and a refund cannot be guaranteed.

Can Flex help me move my booking?

There is no button to move a booking yourself. With Flex, our customer service helps you ask the club for a different time or day: write to hi@greenfee365.com with your booking reference. A new time depends on availability and may cost more. Before the course's cancellation deadline you can also cancel the round with Flex and book the new time separately.

What is covered by Flex?

Flex covers the rounds in your order that you pay online, and checkout shows which rounds are covered. For those rounds you can cancel on your booking page until the course's cancellation deadline and get back what you paid online minus the card processing fee. You also get help from our customer service with changes, and with asking the club for an exception after the deadline.

Rounds you pay at the club are not covered, the Flex fee itself is not refunded, and Flex never extends the course's deadline.

Can I add Flex after booking?

No. Flex can only be chosen in checkout before you pay, and it cannot be added to a booking afterwards.

Weather

Can I reschedule because of rain?

That depends on the golf club's own policy, because your booking is with the club. Greenfee365 cannot move a booking on its own, but our customer service can ask the club for you: write to hi@greenfee365.com with your booking reference. If you booked with Flex and the course's cancellation deadline has not passed, you can also cancel the round yourself and book a new time.

What happens if the course is closed?

If the course has to close on your day, the club's policy decides what happens, for example a refund or a new time. Write to hi@greenfee365.com with your booking reference, and we will settle it with the club and tell you what will be refunded to your card.

If your booking was still a request waiting for the club's confirmation, the club can decline it instead, and the amount reserved on your card is then released.

Can I get a rain check or voucher?

Greenfee365 does not issue rain checks or weather vouchers. Some golf clubs offer a rain check or a credit under their own policy, so ask the club, or write to hi@greenfee365.com and we will ask for you.

Do I get a refund due to bad weather?

Bad weather alone does not give an automatic refund; the club's policy decides. With Flex you can cancel the round yourself until the course's cancellation deadline and get back what you paid online minus the card processing fee.

After the deadline, or with Basic, write to hi@greenfee365.com and we will ask the club, but a refund cannot be guaranteed. If the club itself cancels or closes the course, we sort out the cancellation and any refund with the club.

Can the course cancel my booking because of weather?

Yes. Your booking is with the golf club, and the club can cancel or close for weather under its own policy. If that happens and you have not heard from us, write to hi@greenfee365.com with your booking reference. We will confirm the cancellation with the club and arrange the refund or alternative the club offers.

Equipment

Can I book a buggy?

It depends on the course and the tee time. When you choose a tee time, the Buggies line shows whether a buggy is included in the price, can be added to your booking (it is then priced together with your green fee), can be hired at the club, or is not available.

Where the course has buggies but does not sell them online, you may be able to request one in the "Equipment hire" section at checkout up to 24 hours before tee-off. The club confirms the request separately, and you pay for the buggy at the course.

Can I hire golf clubs?

Yes, if the course offers club hire. You can request it in the "Equipment hire" section at checkout: choose men's or ladies' clubs, right- or left-handed, up to one set per player. The club confirms the request separately, and you pay the club at the course, not online. Requests close 24 hours before tee-off; after that, ask in the pro shop when you arrive.

Are rental clubs guaranteed?

No. Equipment hire is a request to the golf club, not a guarantee. The club confirms or declines each item separately from your tee time, and you can follow the status on your booking page ("Manage your order" in your confirmation email, or My bookings when you are signed in).

If an item is marked "Not available", bring your own or ask the club for an alternative. If there is still no answer 24 hours before tee-off, ask in the pro shop when you arrive. Your tee time stays booked either way.

Can I modify my equipment request?

Before you pay, you can change your choices freely in checkout. After booking, write to hi@greenfee365.com with your booking reference and the equipment you need, at least 24 hours before tee-off. The change is a new request that the club confirms or declines, and your tee time and payment stay the same. Within 24 hours of tee-off, ask in the pro shop when you arrive.

When do I pay for equipment?

Equipment you request in the "Equipment hire" section (a trolley, club hire or a buggy request) is paid directly to the golf club at the course, not online, and Greenfee365 charges nothing for it. Prices are set by the club and are not shown on our website, so ask the club if you want to know the cost in advance.

The exception is a buggy package you choose together with your tee time: it is priced with your green fee and paid the same way as the green fee.

Golf course information

What is the dress code?

Each golf club sets its own dress code, and the rules vary from course to course. Check the description on the course page, and if it does not say, contact the club before you play. Its phone number is in the "About the golf course" section.

Do I need a handicap certificate?

Greenfee365 does not ask for a handicap or a handicap certificate when you book. Any handicap requirement is set by the golf club and can differ between courses, so check the course description, and contact the club before you play if you are unsure.

How early should I arrive?

Each club has its own check-in routine, so arrive in good time to check in at the reception or pro shop before your tee time, especially if you pay at the club or collect hired equipment. Your tee time is always shown in the course's local time.

If you are running late, contact the club as soon as possible; our customer service can help you pass on the message.

Where can I find course directions?

The course address is at the top of each course page, and the club's phone number is in the "About the golf course" section. Your booking confirmation email also includes the address and a "Find on map" link that opens the course location in Google Maps. For anything else about getting there, contact the club.

Are buggies included in the green fee?

It depends on the course and on the rate for your tee time. When a buggy is included, the tee time shows "Buggy included" when you choose it, and your booking page shows the same. If it does not say so, the green fee is for the round only, and you may be able to add a buggy package when you book, request a buggy from the club, or hire one at the course.

Support

How do I contact customer support?

Write to us at hi@greenfee365.com and include your booking reference and the email address you booked with, so our customer service can find your booking quickly. You do not need to sign in to contact us by email.

Why did I receive multiple emails?

We send a separate email for each step of your booking, so several emails are normal. For courses that confirm requests, you usually get one email when your request is sent, one when the club confirms it ("Tee Time Confirmed") and a payment receipt, and you may also get an email if the club suggests a different time. Each tee time in an order gets its own confirmation and receipt.

If two emails look like the same booking, send both to hi@greenfee365.com and we will check that nothing was booked twice.

I have not received my voucher, what should I do?

Your booking confirmation email is your voucher; there is no separate document. Check your spam folder first, and look for an email from bookings@greenfee365.com. You can always open your booking with the "Manage your order" link, or sign in and go to My bookings if you booked with the same email address.

If you still cannot find it, write to hi@greenfee365.com with your name and booking reference, and we will send the confirmation again. For courses that confirm requests, the confirmation is sent once the club has accepted your tee time.

How do I manage my booking online?

Open your booking with the "Manage your order" link in your confirmation email. There you can see all details and the status of each tee time, and answer if the club has suggested a new time. If you chose Flex, you can also cancel there before the cancellation deadline, after signing in with the account you booked with. If you have an account, your bookings are also listed under My bookings.

For changes to the date, time or number of players, write to hi@greenfee365.com and we will take it up with the golf club. Whether a change is possible depends on the club's terms and on your booking option.

Can you contact the golf club on my behalf?

Yes. Our customer service can pass on messages to the golf club for you, for example about a late arrival, a change or a cancellation request. Write to hi@greenfee365.com with your booking reference and what you need, and we will pass it on to the club. Changes and cancellations are always decided by the golf club under its own terms, so we cannot guarantee the outcome.
